In one line: if we made the mistake, we fix it for free — reprint, reship or refund,
your choice. If the approved proof was correct and you simply changed your mind after production, a
custom order generally cannot be refunded.
1. Custom-Made Goods
All products sold by DATAMAP INC are custom-manufactured to your approved artwork, data and encoding
specification and have no resale value to us or to any other customer. For this reason,
custom-printed cards are not eligible for return or refund on the basis of change of mind,
once production has begun. This does not affect your rights where goods are defective, misprinted or
incorrectly encoded by us, or where otherwise required by applicable law.
2. Cancellation Before Production
- Before proof approval: cancel at any time for a full refund of any deposit paid.
- After proof approval, before press: you may still cancel, but we retain a charge for design, prepress and plate/setup work already performed (typically 20% of the order value or the quoted setup fee, whichever is greater).
- After production has started: the order cannot be cancelled, because materials have been committed and personalized. Rush and same-day jobs enter production immediately upon approval.
To request a cancellation, email [email protected] with your order number. Cancellations are effective only once we confirm in writing that the job has not yet gone to press.
3. Our Quality Guarantee
We guarantee that your cards will match the approved proof and the agreed written specification, and
that encoded data will read on standard hardware for the technology specified. If they do not, we will
at your option:
- reprint the affected quantity and reship it at our expense (our default remedy, and the fastest);
- issue a partial refund corresponding to the defective portion of the order;
- issue a full refund where the entire order is defective and a reprint cannot meet your deadline.
Covered by this guarantee:
- printing defects — smearing, banding, delamination, incorrect colors versus the approved proof, cutting outside tolerance;
- encoding defects — barcodes, QR codes, magstripes or NFC chips that fail to read despite 100% read-back verification;
- wrong material, thickness, size or finish versus the agreed specification;
- short shipments — fewer cards delivered than paid for.
4. What Is Not Covered
We cannot accept responsibility for:
- errors in content you supplied or approved in the proof, including spelling, names, numbers, dates, prices, phone numbers, URLs and encoding values;
- errors inherent in variable data files you provided (for example a CSV with incorrect member numbers);
- design choices you approved, including color rendering differences between screen (RGB) and print (CMYK);
- normal production tolerances — card dimensions within ±0.010", color variation within industry-standard ΔE tolerance, and trim variance within ±0.020";
- damage in transit where the carrier confirms delivery in good condition and the packaging is intact; claims for carrier damage are handled under section 6;
- compatibility issues arising from scanning hardware or software you did not disclose to us at the time of order, or from formats changed after approval;
- wear and tear after delivery, including scratches, bending, fading from prolonged UV exposure or damage caused by misuse.
We strongly encourage a small sample run before committing to a large order if color or compatibility is
critical. Sample fees are credited against a subsequent qualifying order.
5. How to File a Claim
- Contact us within 14 calendar days of delivery. Email [email protected] with the subject line "CLAIM – [your order number]".
- Include evidence: clear photographs of the defect, the quantity affected, a description of the problem, and, for encoding issues, the make and model of the scanner or reader used.
- Keep the goods. Do not discard or return cards until we advise you. We may request the return of a small sample for inspection, at our shipping cost.
- We respond within 2 business days with an assessment and a remedy. Approved claims are reprinted or refunded without additional fees.
Claims made after the 14-day window may still be reviewed at our discretion, but we cannot guarantee a
remedy once the window has passed.
6. Damaged or Lost Shipments
- Visible damage on arrival: note the damage with the carrier, photograph the packaging before opening, and notify us within 48 hours. We will file the carrier claim and reprint once the claim is acknowledged.
- Lost in transit: if tracking shows no movement for 7 business days, contact us and we will open a trace and, where appropriate, reprint and reship.
- Wrong address: if you supplied an incorrect shipping address and the package is returned to us, we will reship at your cost. If the package cannot be recovered, a reprint is charged at the current reorder price.
Full delivery terms are in our Shipping & Delivery Policy.
7. How Refunds Are Issued
Approved refunds are returned to the original payment method used for the order. Where that method is
unavailable, we will issue a company check to the billing name on the order or an ACH transfer to the
originating bank account. Refunds are processed within 5–10 business days of approval; your bank or card
issuer may take an additional 2–5 business days to post the credit.
Shipping charges are refunded only where the return or reprint results from our error or from a carrier
loss covered by insurance. Original shipping is not refunded on orders cancelled after dispatch.
8. Orders We Decline
If DATAMAP INC declines an order under our
Acceptable Use & Legal Compliance Policy, we will refund all amounts paid
for that order in full, including any design or setup fees, within 10 business days of the decision.
9. Price Adjustments
We do not offer retroactive price adjustments on completed orders if a later quote or promotion is
lower. Volume pricing applies to the quantity ordered; splitting an order to reach a higher discount
tier is not permitted.
10. Governing Law
This Refund & Return Policy is governed by the laws of the State of Arizona and applicable US
federal law, and is subject to the dispute resolution provisions of our
Terms of Service. Nothing in this policy limits any non-waivable consumer
right you have under applicable law.
